EPIC BAY TERMS AND CONDITIONS

TR Kayaks Ltd, operating under the trading name Ocean Surfski in these terms and conditions are called the “Event Organisers”.

These terms and conditions apply to all participants who register to take part in any event organized by Ocean Surfski. In these terms and conditions participants will also be referred to as “you”.

By registering in the event you are agreeing to be bound by these terms and conditions  

All participants must be above 16 years of age.  Any participant wishing to race under the age of 16 can be considered on a case-by-case basis, with validation from an ocean race coach known to the organisers in advance. The race organiser reserves the right to cancel your entry if conditions on the day are deemed unsafe or unsuitable for the individual paddler. In this case you will be refunded your entry minus 20% administration costs.

The race organisers reserve the right to cancel or change the event at any time before the start of the event if conditions are deemed unsafe or unsuitable to continue. In this case you will be refunded your entry minus 20% administration costs.

You are responsible for reading the details and description regarding the event contained on the website www.epic-kayaks.co.uk and any other information that may be sent to you by the Event Organiser and agree that you clearly understand what ability is required and what is entailed in participating in the event.

You are responsible for completing the Race Declaration, Self-Certification and Indemnity and for ensuring it is valid and current for you up to and including the time of the race. 

The registration fee must be paid at the time of registration. Ocean Surfski refund policy is: Any event entry cancellation received by email to Ocean Surfski more than 7 days prior to the event date will receive a 100% refund or transfer of entry fee towards another Epic Bay event. Only emailed cancellations to sales@epic-kayaks.co.uk are acceptable.

All entries are non-transferable between individuals, unless authorised by the Race Organiser.

If any details provided by you on your registration form change you must notify the organisers immediately by emailing sales@epic-kayaks.co.uk or writing to Ocean Surfski, Moorhayes Farm, Washfield, Tiverton, EX16 9RF

The Event Organisers reserve the right to cancel your participation in the event if any information provided by you is found to be inaccurate in any way. In this case you will be refunded your entry fee minus 20% administration costs  

You agree that if issued, GPS data (from the issued GPS Tracker) of your movements at the event will be displayed and recorded. This data will available to be recalled after the event.

Please note that all arrangements for the event, including the venue, date and programme may be subject to change, any changes will be notified to you by email.  

You are responsible for ensuring that you have taken your own medical advice, and that you are medical are fit and healthy and have undertaken appropriate training and preparation to participate in the event.  

You are responsible for taking out suitable personal insurance cover for your participation in the event.

You agree that you participate in the event at your own risk, and accept that the Event Organisers cannot be liable to the fullest extent permitted by law, for any personal injury sustained by you in any way or loss or damage to any personal property as a result of your participation in the event  

You must abide by any rules or regulations of the event that may be notified to you by the Event Organisers at any point leading up to or at the event.   

You must show respect and courtesy towards other participants and spectators. If you behave in any manner which is, in the Event Organisers opinion, poor sportsmanship or a risk to the safety of any other participant, spectators or anyone else in attendance at the event this may result in you being disqualified from the event, with no refund.   

You are responsible for the safe keeping of your own personal possessions and those of any spectators you may bring to the event. Personal possessions left unattended at the venue in any facilities provided or otherwise are left entirely at your own risk  

The Event Organisers are not responsible for any third party organisations that may be provide other services at the event. You use any such services at your own risk  

If access to the published course is restricted for any reason an alternative route will be used.  

If the event has to be postponed for any reason, the Event Organisers will endeavour to arrange an alternative event, and you will be notified of the new date and venue of the rearranged event. These terms and conditions will continue to apply to the rearranged event. Refund of Race registration fee will be given if you do not wish to participate in the rearranged event, minus a 20 % deduction to cover administration costs. Accommodation fees will not be refunded if the event is re-scheduled  

If the event has to be cancelled, you will receive a refund of your registration fee minus a 20 % deduction to cover administration costs  

You agree to photographs and video being taken at the event and that any images of you may be used by the Event Organisers in any media regarding the event and to market and advertise the event or any other similar events  

By registering you are agreeing to any data provided being used by the Event Organisers to contact you regarding other events  

You agree that once you have been issued your timing chip or GPS Tracker you are responsible for it. You agree to pay a sum of £80 on invoice if you do not return your timing chip or race tracker at the finish of the event

PRIVACY POLICY

Ocean Surfski do not disclose buyers' information to third parties other than when order details are processed as part of the order fulfilment. In this case, the third party will not disclose any of the details to any other third party.

If you book or contact Ocean Surfski we will use your email address to send you a monthly update. If you do not wish to receive this communication, you can unsubscribe at any time.

Data collected by this site is used to:

a. Take and fulfil customer orders
